Cold email for web design clients: templates that work

How to write cold emails that get web design clients: research, a specific observation, a short offer and follow-ups, plus templates and the CAN-SPAM rules.

The short answer

Keep it short, specific and about them: one line on who you are, one specific observation about their website, one sentence on how you would improve it, and a low-commitment question. Send a small number of personal emails rather than mass campaigns, follow up once or twice, and follow the CAN-SPAM rules, which apply to business emails: accurate sender details, honest subject lines, your address and an opt-out.

  • Specific observations about their site get replies; generic pitches do not.
  • Short emails with one clear question work best.
  • Personal, low-volume outreach beats mass sending.
  • CAN-SPAM applies to B2B email, with penalties per message.

01The structure

  1. 1Subject linePlain and specific: "Quick idea for the Rosewood Dental site". No tricks.
  2. 2Who you are, in one line"I design websites for dental practices in Ohio."
  3. 3One specific observation"Your booking button is hidden below three photos on phones."
  4. 4The improvement and proof"I moved booking to the top for another clinic and their online bookings rose." Only claim results you have.
  5. 5A small ask"Want me to send a quick mockup of how yours could look?"

02Templates

Adapt these, and always replace the bracketed parts with something real about the business.

  • Template 2, the concept: "I made a quick concept of how your homepage could look on phones: [link]. Happy to walk you through it in ten minutes."
  • Template 3, the referral: "[Mutual contact] mentioned you might be updating your website. I recently redesigned [similar business]'s site: [link]."
  • Follow-up: "Just floating this back up in case it got buried. Happy to send the mockup if useful."

03The rules: CAN-SPAM

The FTC's CAN-SPAM compliance guide states that the law makes no exception for business-to-business email. Commercial emails must have accurate header and sender information, honest subject lines, a clear disclosure that the message is an advertisement, a valid physical postal address and a way to opt out, with opt-outs honored within 10 business days. Each violating email can draw penalties of up to $53,088.

Outside the US the rules can be stricter. The UK and EU restrict unsolicited marketing email, especially to individuals and sole traders, so check local rules before emailing there.

04Research before you write

Spend five minutes per prospect: open their site on your phone, check their Google Business Profile and reviews, and note one concrete problem. Look for an owner or manager's name. That five minutes is what makes the email worth replying to. For a quick visual, an AI builder can generate a concept homepage with their name and services in a few minutes.

  • Does the site work on phones?
  • Are phone, booking and prices easy to find?
  • Do reviews mention anything the site should address?
  • How do the nearest competitors' sites compare?

05Mistakes that kill replies

Long emails about you, attachments, links to a generic portfolio, fake familiarity ("Hope you're well, I've been following your business for years"), claiming results you do not have, and sending hundreds of identical emails from a new domain, which damages deliverability. Keep volume low, write each one personally and send from a domain with SPF, DKIM and DMARC set up; how to set up email with your own domain explains those.

How to get web design clients puts cold email in context, and how to sell websites to local businesses covers in-person approaches.

06Measuring your outreach

Track each email: date sent, follow-ups, reply, call booked and project won. After 50 emails you will know your reply rate and which observations or templates get responses. If almost nobody replies, the problem is usually targeting (businesses that do not care about their website) or messages that are not specific enough. Change one thing at a time so you can see what helps.

What people who tried it say

Hacker News threads on cold email split between practical playbooks for outbound sales and pushback that bulk unsolicited email is spam, which is why personal, low-volume outreach works better.

  • Cold Email HandbookHacker News

Some praise the deep playbook for avoiding rookie mistakes; others point out that unsolicited bulk email fits the definition of spam.

  • The Cold EmailHacker News

Commenters agree the worst anyone can say is no, and note that AI-written cold emails now make recipients wary of generic messages.

Our take

ten researched, personal emails a week will outperform a thousand automated ones, without the spam risk. Lead with their problem, not your services.

Where this falls short

Reply rates vary widely by niche and quality of research. This is a summary of CAN-SPAM, not legal advice; check rules in each country you email.
